Refund and Cancellation Policy

1. Overview
At Home Health Solutions, we understand that circumstances may change and appointments may need to be cancelled or rescheduled. This policy outlines our cancellation and refund procedures to ensure fair treatment for both our patients and healthcare providers.
2. Appointment Cancellation Policy
2.1 Standard Cancellation
- 24-Hour Notice: Appointments may be cancelled or rescheduled without penalty if notice is given at least 24 hours before the scheduled appointment time.
- 12-24 Hour Notice: Cancellations made between 12-24 hours before the appointment may incur a 50% cancellation fee.
- Less than 12 Hours: Cancellations made less than 12 hours before the appointment time will incur the full service fee.
2.2 Emergency Cancellations
We understand that medical emergencies and unexpected circumstances can occur. In the following situations, cancellation fees may be waived at our discretion:
- Sudden illness or medical emergency requiring immediate hospitalization
- Death in the immediate family
- Natural disasters or severe weather conditions
- Other circumstances beyond the patient's control
Documentation may be required to waive cancellation fees for emergency situations.
2.3 No-Show Policy
Patients who fail to be present for their scheduled appointment without prior notice will be charged the full service fee. Patients may be required to prepay for future appointments.
3. Refund Policy
3.1 Service-Related Refunds
- Service Not Provided: Full refund will be issued if we are unable to provide the scheduled service due to circumstances within our control.
- Incomplete Service: Partial refunds may be issued if a service is only partially completed due to circumstances within our control.
- Service Quality Issues: Refunds may be considered on a case-by-case basis if there are legitimate concerns about service quality.
3.2 Payment Refunds
- Duplicate Payments: Any duplicate payments will be refunded promptly once identified.
- Processing Errors: Payment processing errors will be corrected and refunded within 5-7 business days.
3.3 Non-Refundable Services
The following are generally non-refundable:
- Services that have been successfully completed as scheduled
- Consultation fees for appointments that were kept
- Administrative fees for service coordination
- Cancellation fees as outlined in this policy
4. Rescheduling Policy
We encourage patients to reschedule rather than cancel appointments when possible:
- Same-Day Rescheduling: Available subject to provider availability and may incur additional fees
- Advanced Rescheduling: Preferred method with 24+ hours notice to avoid any fees
- Multiple Reschedules: Excessive rescheduling may result in requirement for appointment deposits
6. Weather and Safety Cancellations
Home Health Solutions reserves the right to cancel appointments due to:
- Severe weather conditions that make travel unsafe
- Road conditions that prevent safe access to patient homes
- Public health emergencies or safety concerns
In such cases, appointments will be rescheduled at no additional cost to the patient.
7. Refund Processing
When refunds are approved:
- Credit Card Refunds: Processed within 5-7 business days
- Digital Payment Refunds: Processed within 3-5 business days
8. How to Cancel or Request Refunds
To cancel an appointment or request a refund:
- Call our main number during business hours
- Send an email with your appointment details
- Contact your assigned care coordinator directly
9. Dispute Resolution
If you disagree with a cancellation fee or refund decision:
- Contact our patient services team within 7 days
- Provide documentation supporting your request
- Allow 5-10 business days for review and response
- Escalate to management if the initial response is unsatisfactory
10. Policy Updates
This policy may be updated from time to time. Changes will be communicated to existing patients and posted on our website. Continued use of our services after policy changes constitutes acceptance of the updated terms.
